SOAIS Hackathon Use Case: Automated Data Validation and Admit Card Generation using UiPath

Government examination boards, both at the central and state levels, such as UPSC and SSC, are conducting exams and receiving a substantial number of applications, often ranging from 10 to 15 lakhs or more. These boards do the process of validating these applications and generating admit cards for the eligible candidates.

In order to ensure accuracy, exam boards employ a combination of manual and automated processes to validate applications and generate admit cards. Manual validation involves skilled labour and can be time-consuming and labour-intensive, as it requires a substantial number of human resources to handle the collected data.

For the mentioned use case, we have developed a solution utilizing UiPath’s robotic process automation. This solution involves the collection of data from the candidate, validation of

ID proof based on the provided details in the application, and the generation of an admit card. The entire process is completed within a time frame of less than 1.5 minutes per application.

We have created an application form using UiPath Apps, a product offered by UiPath, to efficiently gather candidate data. Once the candidate fills out the form and clicks the submit button, the information is automatically collected and securely stored in a database. Furthermore, an acknowledgment is promptly sent to the candidate via SMS and email to confirm the successful submission of their application.

Upon the submission of an application by each candidate within the specified deadline, we proceed with the validation of the uploaded ID proof. This validation process utilizes

Document Understanding, leveraging the combined capabilities of the Form Extractor and Machine Learning Public endpoint, both of which are part of UiPath’s product suite. The candidate’s provided details, such as their name, date of birth, and ID number, are cross-referenced during this validation. If the validation is successful, the application proceeds to the admit generation stage. However, in case the validation fails, the application is returned to the candidate with a request to amend and re-upload the form with valid and accurate details.

Upon successful validation of the forms, we proceed to generate admit cards for the candidates. These admit cards are designed to provide comprehensive information. Each admit card includes a QR code that is embedded with the Google Maps location of the designated exam centre. Additionally, a barcode containing the candidate’s registration number is included. The admit card features a digital signature, a passport-sized photograph of the candidate, and important personal details such as their name, gender, category, date of birth, and address, all of which are collected from the application. Furthermore, the admit card prominently displays the exam date and timing, ensuring that candidates have all the necessary information for a seamless examination process and receives a timely acknowledgment through SMS and email, which includes the attached admit card.
